# User Invitations

# Overview

The Member Invitations page in NextBee Insights Dashboard is a feature that enables business owners or team members to upload lists of prospects to be invited to the loyalty program. The invitation emails will be sent to the members with a registration link in the email body, allowing them to easily join the program.

# Accessing Member Invitations

To access Member Invitations, simply log in to the NextBee Insights Dashboard and navigate to the Member Invitations page. The page will display a list of previously created invitations, including Batch ID, Organization Name, Current Processing Count, Total Row Count, Last Updated Time and Status.

# Creating a New Invitation

Click on the "Invite User" button in the top right corner of the Member Invitations page. This will bring up a form where you can enter the details of the invitation.

# Completing the Invitation Form

In the form, you will be required to enter the following details:

First Name Last Name Email Invite Mode Organization Other Demographical Information

# Selecting the Invite Mode

The Invite Mode field will allow you to select one of the following options:

  • Member Records Only: Only the member's records will be entered into the database, and no email will be sent.

# Register Request Email

An email will be sent to the member with a link for registration with the loyalty website.

# Welcome Email

The user will be already registered, and an email will be sent with a login link.

# Submitting the Invitation

Once you have completed the form, click on the "Create" button to submit the invitation. You can repeat this process for each member that you would like to invite to the loyalty program. This form can be used to send invitations for one member at a time.

# Member Upload Form

The form provides an efficient way of uploading a bulk of members data in one go, making it easier to manage large groups of people. By using the Member Invitation form, it is possible to send invitation emails to prospect members with a registration link in the email body, helping to increase program participation and grow the business.

On the Member Invitations page, click on the "File Import" button located on the top right-side corner. A form with the title "Upload New Users" will appear on the screen. The form contains the following fields

Form Element Description
Batch ID A unique identifier for the batch of member data being uploaded
Invite Mode The type of invitation that will be sent to the members. The options are Member Records Only, Register Request Email, and Welcome Email.
Organization The organization the members belong to
File upload A button to upload a CSV file containing the member data
Download sample CSV file A link to download a sample CSV file to use as a template for the member data

# Submit the form

Once the form is filled out, click on the submit button to upload the member data. The uploaded data will be processed, and the appropriate invitations will be sent to the members based on the selected Invite Mode.

# Invitation Processing

Once the invitation data is uploaded, a backend job is triggered from the system to process the invitation list.

# Tracking Invitation Status

The Member Invitations page provides a comprehensive overview of the invitation status, including the number of invitations processed, total number of invitations, and the status of each invitation (Processing, Completed, or Failed).

# Current Processing Count

Indicates the number of invitations that are currently being processed.

# Total Row Count

Represents the total number of invitations, including those that have been processed, are in progress, or have failed.

# Status

The status of each invitation is displayed, including Processing, Completed, or Failed.

By regularly monitoring the invitation status, business owners or team members can stay updated on the progress of their invitation campaigns and take appropriate action if necessary.
